Terms and Conditions

Effective Date: June 1, 2026

By booking moving services with CarePhilly Movers, the Client agrees to the following Terms and Conditions:

Deposit Requirement

A non-refundable deposit of $150 is required to secure the scheduled moving date and time. The deposit will be applied toward the final balance of the move.

Estimates

All estimates provided by CarePhilly Movers are non-binding unless otherwise stated in writing. Final charges may vary based on actual labor time, inventory, packing requirements, stairs, long carry distances, elevator delays, additional items, disassembly/assembly services, waiting time, or unforeseen circumstances on moving day.

Additional Items and Inventory Changes

The estimate provided is based on the inventory disclosed by the Client at the time of booking. Additional items, additional stops, packing requests, storage requirements, or significant changes to the scope of work may result in additional charges and adjustments to the estimate.

Billing Policy

Charges are based on actual hours worked. Final cost may vary depending on job conditions, access limitations, stairs, elevator availability, long carry distance, additional items, packing requirements, disassembly/assembly services, waiting time, and any additional services requested on moving day. A $150 non-refundable deposit is required to secure the moving date and time.

Minimum Service Charge

Unless otherwise agreed in writing, all local moves are subject to a minimum charge of three (3) labor hours.

Travel Time

Travel time may be billed from CarePhilly Movers’ dispatch location to the pickup address and between service locations unless otherwise specified in writing. Travel charges are calculated based on the crew assigned to the move and applicable hourly rates.

Local and Long-Distance Pricing

Local moves are generally billed at the applicable hourly rate. Long-distance moves may be quoted using flat-rate pricing, mileage-based pricing, labor-based pricing, or a combination thereof, at the sole discretion of CarePhilly Movers. Pricing for long-distance relocations will be outlined in the written estimate provided to the Client before services begin.

Payment Terms

Payment is due immediately upon completion of services unless otherwise agreed in writing. Accepted payment methods may include cash, credit/debit card, Zelle, Cash App, Venmo, or certified funds. A processing fee may apply for card payments.

Cancellation and Rescheduling

Access and Delays

The Client is responsible for ensuring proper access to both locations, including parking permits, elevator reservations, and building access. Waiting time caused by delays outside of CarePhilly Movers’ control may be billed at the standard hourly rate.

Estimated Time Windows

Any estimated completion times, arrival windows, or labor projections are approximate and are not guaranteed. Actual duration may vary due to traffic conditions, weather, building restrictions, elevator availability, inventory volume, access limitations, waiting time, and other factors beyond reasonable control.

Prohibited Items

CarePhilly Movers does not transport hazardous materials, explosives, firearms, illegal substances, flammable liquids, propane tanks, perishable goods, or other prohibited items unless specifically approved in writing.

High-Value and Restricted Items

Clients are responsible for transporting cash, jewelry, precious metals, firearms, medications, passports, personal documents, collectibles, securities, and other items of extraordinary value. CarePhilly Movers shall not be liable for loss or damage to such items unless specifically agreed to in writing.

Right to Refuse Service

CarePhilly Movers reserves the right to refuse service involving hazardous, unsafe, unsanitary, illegal, excessively heavy, improperly prepared, or otherwise unreasonable conditions that may endanger employees, equipment, property, or the public.

Damage Claims and Valuation Coverage

Any claims for loss or damage must be reported in writing within 5 calendar days after completion of the move. CarePhilly Movers’ liability shall be limited in accordance with applicable Pennsylvania law and the valuation coverage selected by the Client.

Unless additional valuation coverage is purchased or agreed to in writing, each move is insured at released valuation coverage of $0.60 per pound.

Limited Liability

CarePhilly Movers is not responsible for:

IKEA, Particle Board, and Pressboard Furniture

Furniture constructed from particle board, pressboard, laminate board, ready-to-assemble furniture, or similar materials may be structurally weakened through normal use, previous assembly, or disassembly. CarePhilly Movers shall not be responsible for structural failure resulting from pre-existing conditions or the inherent nature of such furniture.

Heavy and Specialty Items

Additional charges may apply for pianos, safes, pool tables, oversized furniture, appliances, fitness equipment, aquariums, hot tubs, and other specialty items requiring additional labor, equipment, or handling.

Packing Responsibilities

Clients are responsible for properly securing fragile, high-value, or breakable items unless professional packing services are purchased from CarePhilly Movers.

Governing Law

These Terms and Conditions shall be governed by and interpreted under the laws of the Commonwealth of Pennsylvania.

Agreement

By paying the deposit, signing the estimate, or scheduling services with CarePhilly Movers, the Client acknowledges and agrees to these Terms and Conditions.
